Shift Reports
Overview
The Shift Reports section provides a day-by-day breakdown of each user's shift timing — including clock-in and clock-out times, arrival/departure deviations, and shift completion status. It enables managers and administrators to monitor shift adherence, identify late arrivals or early departures, and track total shift time across a date range — all within a single filterable table.

Accessing Shift Reports
- Navigate to Reports from the left-hand navigation menu.
- On the Reports dashboard, click View Report under Shift Reports.
Shift Reports View
The report displays a table where each row represents a user and each column represents a date, showing that user's shift activity for that day as a status card.

Table Columns
| Column | Description |
|---|---|
| User Name | Name of the team member. Sortable. |
| Time Zone | The time zone configured for the user (e.g. India Standard Time (+05:30), SA Pacific Standard Time (-05:00)), used to calculate shift timing. |
| Per-Date Columns | One column per date in the selected range, showing a shift status card for that day. Shows - if the user had no scheduled or recorded shift activity. |
| Total Time | Aggregate shift time logged by the user across all dates in the range. Sortable. |
Shift Status Card
Each date cell with recorded activity displays a card containing the following details:

|---|---|
| Arrival Deviation Badge | Shows how early or late the user clocked in relative to their scheduled shift start (e.g. On Time, or a duration such as 00h 57m). |
| Departure Deviation Badge | Shows how early or late the user clocked out relative to their scheduled shift end, or marks the shift as Shift Completed. |
| Shift Duration | The total time worked during that shift (e.g. 07h 13m, 23h 59m). |
| Clock-In / Clock-Out Time | The actual time range the user was clocked in for that day (e.g. 09:57 to 10:47). |
Cards outlined in red typically indicate a deviation from the scheduled shift (late arrival, early departure, or incomplete shift), while cards outlined in green indicate the shift was on time and completed as scheduled.
Filters
The report can be refined using filters at the top of the page, typically including:
| Filter | Description |
|---|---|
| Select Date Range | Choose a custom start and end date to limit the report to a specific period. |
| Select Users | Multi-select dropdown to include specific team members. |
| Select Time Zone | Filter users by their configured time zone. |
After configuring filters:
- Click Apply to refresh the report with the selected criteria.
- Click Reset to clear all filters and return to the default view.
Available date columns update dynamically based on the selected date range. Only dates within the range will appear as columns.
Sorting and Pagination
- Click the sort icon (↑↓) next to User Name or Total Time to reorder the table.
- Use the horizontal scrollbar below the table to view additional date columns.
- Use the pagination controls at the bottom of the table to move between pages of results.
- Use the rows-per-page dropdown (e.g. 5) to control how many users are displayed per page.
- The Total count at the bottom-left shows the overall number of users in the report.
Exporting Reports
Report data can be exported to Excel for external analysis, management reviews, or record keeping.
- Apply the required filters and click Apply.
- Review the generated report data.
- Click the Export to Excel button at the top-right of the page.
- The file will download to your device.
Exported reports can be used for:
- Attendance and shift adherence tracking
- Payroll verification
- Workforce planning
- Compliance reporting
- Management reviews
Permissions
Access to Shift Reports is controlled through user roles and permissions.
Typically available to:
- Administrators
- Managers
- HR Personnel
- Team Leads
- Authorized Reporting Users
Users will only be able to view data they have permission to access. Available users and time zones in the filter dropdowns are also restricted by role.
